Basic Concept
Developing an event concept and theme under consideration of the specific goals, the respective corporate philosophy as well as the target group and the guest structure
Venue
Location scouting, feasibility study of the location (including infrastructure, transport connection, technical equipment, fire regulations, etc.) reservation and negotiation of contracts
Financing/Budgeting
Financial concept, determining and monitoring the budget, invoice verification of suppliers and final settlement
Sponsoring
Searching for sponsors, negotiating contracts, on site support of sponsors
Promotion
Handling single or multi level invitation mailings, administrating address databases, following up by telephone, mail shots, creating an event website, graphic design for printed matter, flyers and programs
Hotel Reservation
Reservation of room blocks, negotiating contracts, managing room contingent, processing bookings incl. confirmations, handling of changes and billing
Guest Management
Registering the guests with professional event software, registration via mail, fax or online, sending out relevant confirmations, correspondence with the guests, support in creating seating arrangements for gala evenings, VIP service
Dramaturgy/Direction
Creating the program and arranging the location according to the concept: furnishing and decorating the location according to the theme, determining and adjusting the content of the program, hiring of artists (musicians, acrobats, walking acts etc.), directing, organizing interactive entertainment and theme catering
Media/Digital Documentation
Implementation of the overall concept/theme via media such as video-trailers, songs/soundtracks (original compositions or adaptations of an existing piece) and live coverage as well as documentation of the event with photographs and/or video and DVD
Logistics
Inviting offers, negotiating contracts, coordinating all suppliers (transfer, cloak room, catering, artists, technology, hostesses, security etc.) and final invoice
On Site Management
Preparation of a detailed schedule/story board, guest management, over all coordination of all suppliers, support of artists, staff/hostess planning
