Process
Any event is a "temporary business"
and the role played by MEEM is to manage, on behalf
of the client - or "entrepreneur" - to ensure
the ultimate success of the event. Our role is similar
to that of an architect when it comes to building houses.
In other words, after a detailed briefing with the client
about goals, target groups, content and form of the
event, we develop a concept according to client's wishes.
On this we base our assignment of responsibilities and
implementation of the concept.
Every event is run by a project manager, who is responsible
for every phase of the event. This way we can guarantee
our clients one central contact person, who plans, coordinates
and follows through all activities according to the
basic formal and budgetary conditions. Naturally, the
organizational steps depend on the type of event, as
well as individual needs.
There are four phases of organization that may include
the following tasks:
During the planning phase, the location and date are
determined. After you have met the entire organization
team, a time line is created and tasks and responsibilities
are divided up. The budget is determined, the financing
is arranged and legal and tax matters are clarified.
Preparation is the most extensive phase and includes
all tasks of event planning - from acquiring participants
and printing materials to event technology and taste-testing
with the caterer. The necessary offers from third parties,
such as service, hotels, technology, printers, decorators,
travel agencies, etc. are received and discussed. The
various tasks are then assigned to the appropriate partner.
The cost-benefit ratio, experience and reliability are
the deciding factors here.
The realization of the event takes place according to
a detailed plan, which includes all the information
and procedures of the event. Basically it functions
as the "script" for all people involved as
organizational staff. We take on the organizational
management for the entire process of the event, arrange
conference offices, information counter and office and
take care of participants, speakers, exhibitors, artists,
etc.
During the final end process we gather the entire event's
statistics and lists check the invoices from all service
providers and create a final financial report.
Having a successful event means achieving all of the
organizer’s goals. It is our task to secure the
basic conditions for this success through unobstructed
organization that takes place in the background.
